Refund and Returns Policy
Effective Date: May 2, 2026
Last Updated: June 6, 2026
This Wholesale, Distributor, and Corporate Bulk Return Policy governs all high-volume business-to-business (B2B) commercial transactions, trade procurement applications, and corporate wellness shipments with Sourtake. By executing a commercial purchase order, entering into a corporate supply agreement, or accepting a freight consignment from our fulfillment hubs, your organization explicitly agrees to the legal and logistical parameters detailed below.
1. Commercial Delivery Inspection Window & Manifest Discrepancies
Sourtake maintains rigorous quality control workflows to verify box tallies, packing slip integrity, and weight metrics prior to freight dispatch from our central production facility in Pune, Maharashtra, India.
- 7-Day Inspection Rule: Authorized commercial buyers, retail stockists, and regional distributors are granted a strict window of 7 calendar days following shipment delivery (as verified by the carrier’s Bill of Lading or digital tracking data) to conduct a full warehouse receiving audit.
- Filing a Manifest Discrepancy Report: Any claims regarding physical inventory count shortages, carton omissions, or incorrect collection distribution allocations must be submitted in writing to our B2B account division within this 7-day window. If no formal notice is filed within 7 days of delivery, the consignment will be legally deemed complete, accurate, and fully accepted by the corporate buyer.
2. Definitive Non-Returnable Allocations & Commercial Exemptions
To secure the financial stability of our print-run pipelines, custom manufacturing lines, and specialized inventory counts, the following wholesale allocations are strictly final and permanently exempt from return, cancellation, or trade exchange:
- Bespoke & Co-Branded Publications: Any bulk orders produced with custom corporate identifiers, custom belly bands, tailored introductions, or unique wellness retreat branding elements.
- Export and Custom Clearance Freight: Any international wholesale shipments finalized outside standard Indian trade corridors that have cleared custom boundaries across international distribution centers.
- Digital Enterprise Licenses: Digital PDF starter kits, color-theory masterclasses, and corporate wellness presentation sheets delivered via instant digital access or download channels.
- Volume Discount Clearance Lots: Any print archives or specific editions acquired through special clearance operations, final stock sell-outs, or seasonal overstock liquidations.
3. Authorized Commercial Returns & Restocking Structures
Sourtake operates primarily under a No-Return Trade Policy on all correctly fulfilled B2B purchase orders to preserve our competitive tier pricing. However, exceptional non-defective commercial return requests may be considered on a case-by-case basis, subject to the explicit written authorization of our corporate trade desk.
Strict Criteria for Authorized Returns
- The adult cozy coloring book inventory must be absolutely pristine, unhandled, uncolored, and entirely free of retail barcode stickers or vendor price tags.
- Publications must remain sealed within their original factory shrink-wrap packing arrays and returned inside their original, heavy-duty master shipping cartons.
- The return shipment must be processed and dispatched back to our central warehouse facilities within 14 days of receiving written return authorization from Sourtake.
The 20% Commercial Restocking Fee
- All authorized, non-defective corporate returns are subject to a mandatory 20% corporate restocking and administrative processing fee, calculated against the gross wholesale invoice value of the returned stock.
- Original outbound freight costs, international customs levies, and local terminal handling charges are completely non-refundable. The costs associated with securing safe reverse logistics freight are borne entirely by the commercial buyer.
4. Defective Consignments & Transit Damage Protection
Sourtake provides premium construction safeguards for every physical publication line—engineering each unit to meet high aesthetic profiles: an 8×8″ square layout, a 250 GSM luxury matte laminated cover, and 20+ single-sided illustrations on premium 100 GSM uncoated paper stock.
We replace any wholesale inventory that displays verifiable manufacturing faults or severe transit damage that impacts retail sale value (e.g., severe binding separations, printing misregistrations, or crushed spines).
- Identify Structural Issue
- Document Damages with Photos
- Email Trade Account Desk
- Credit Memo or Replacement
Protocol for Filing an Exchange Claim:
To secure an immediate credit or an express replacement drop-shipment, your logistics supervisor must email our account desk at sourtake@outlook.com within 7 days of delivery with the following information:
- The primary Sourtake Pro-Forma Invoice or Purchase Order (PO) number.
- High-resolution digital photographs detailing the exact nature of the structural manufacturing defect or carrier damage.
- A signed copy of the carrier’s delivery receipt explicitly noting that the outer freight cartons arrived damaged or compromised.
5. B2B Reversals: Credit Memos and Financial Settlements
Sourtake does not process individual consumer cash, debit, or consumer credit card chargebacks for commercial-tier accounts.
Approved adjustments for short-ships, verified production anomalies, or authorized corporate exchanges will be issued strictly in the form of a formal Corporate Credit Memo. These credits will be applied directly to the buyer’s open trade account balance and will be deducted from your organization’s next scheduled monthly billing cycle or upcoming purchase order allocation.
6. Reverse Logistics Shipping Requirements
All authorized corporate shipments must be routed directly to our domestic hub:
Sourtake Operations Command Center
Attn: B2B Returns & Logistics Division
Pune, Maharashtra, India.
- Freight Accountability: The commercial buyer maintains full title to, and risk of loss for, all returning inventory until the pallet or carton is physically scanned, inspected, and signed for by our receiving team.
- Tracking & Documentation: Every reverse logistics shipment must be managed through an established, trackable commercial freight carrier or priority postal tracking network. The carrier’s tracking numbers must be emailed directly to your designated Sourtake account specialist immediately upon vehicle dispatch.
